Privacy statement

Your privacy matters. That's why we handle it with care. This privacy statement describes how we do that. It covers, among other things, which data we store, for what purposes, and how you can view, change or delete that data.

Collecting personal data: why and how?

The type of work Everyday Heroes does is inextricably linked to (confidential) personal data. In some cases it is not (immediately) possible to inform people of this, for example because of the confidential nature of the service or because it is not possible or reasonably feasible to approach the person concerned directly. In these cases, Everyday Heroes processes personal data on the basis of a legitimate interest. Where possible and feasible, Everyday Heroes will ask for consent at a later stage.

As part of the services of Everyday Heroes, personal information necessarily passes through our hands. This information is collected for a shared objective, such as filling a vacancy for a client or finding a new challenge in a candidate's career. A candidate, client, referee, partner or informant may contact us themselves, or may be approached personally by phone, email or at the office. As part of the services, personal information may be processed, for which this privacy statement will also be provided, and which can be accessed at any time via our website.

To provide a high-quality service to clients, Everyday Heroes carries out preliminary research into markets, companies, sectors and industries, whether or not at the request of clients. This research provides insight into current HR, staffing and recruitment issues and is necessary to advise and serve clients and candidates properly.

This data is always treated confidentially and with care. Naturally, everyone has the right, also arising from legal and regulatory obligations, to view this data or to be "forgotten". Data is not shared with third parties without the person's knowledge.

Which personal data is involved, and for what purpose?

Clients: business and contact information such as name, email address, job title, phone number, meeting notes and other information provided by clients about vacancies and candidates.

Client information is collected to perform agreements, provide services and for legitimate interests of Everyday Heroes such as relationship management and marketing.

Candidates: personal and contact details of candidates who register online or after personal contact for open and/or future positions, such as name, address, phone number, email address, job title, records and, where provided by the candidate, CV and related documentation (assessments, cover letters, etc.). Information is obtained first-hand or from public sources; no personal data is obtained from third-party databases.

Information about candidates is collected for the personal development and career of the candidate, for filling vacancies on behalf of a client, and for relationship management. Where there is interest, personal data may be shared with the client. Personal information is kept on file so the suitability of candidates can be assessed for future client assignments. In the case of (confidential) searches, a limited set of anonymised personal data may be shared with the client as part of pre-selection, after which the candidate will be informed if the client is interested. Other personal data will be shared after personal contact and with the candidate's consent. Data may also be used to analyse and improve the services of Everyday Heroes.

Referees and informants: name, email address and phone number of referees and informants, as well as records. Information from referees and informants is used to identify and assess candidates, with the aim of providing the best possible package of services to candidates and clients.

Retention period: Everyday Heroes processes personal information for as long as necessary to provide services and achieve the objectives above. After this period, personal information is deleted or anonymised.

Rights: access, rectification, data portability, objection, erasure and complaints.

A candidate, client, informant or referee is not obliged to provide personal information to Everyday Heroes. This may, however, mean that Everyday Heroes cannot provide its services. Consent given can be withdrawn at any time. You can also ask us at any time to stop processing personal data.

Every candidate, client, informant or referee has the right to know which information Everyday Heroes keeps and stores, and the rights above apply at all times.

Complaints, objections and requests

Although Everyday Heroes will do everything it can to put privacy and confidentiality first and to combine them with a high quality of service, anyone may request access to their data, object to the processing of data by Everyday Heroes or request its deletion. Requests can be submitted by email to info@everydayheroes.nl. Complaints about how Everyday Heroes handles personal data can also be sent to this address. If a complaint is not handled to your satisfaction, you can contact the AP (Autoriteit Persoonsgegevens, the Dutch Data Protection Authority).

Storage and security

To carry out its tasks, Everyday Heroes uses various applications and forms of automation. These applications are secured by technical and organisational measures to protect candidates' personal information as well as possible against loss and/or unintended use. Employees are explicitly instructed on the importance of privacy and careful handling of data, and in that sense are made and kept "privacy-aware". Current application suppliers comply with the standards and provisions of privacy legislation, and new suppliers are checked against them when they are taken on. Third parties may contractually use personal information only for the reason they were engaged, and are expressly not permitted to use and/or pass on personal information independently or for any other purpose.
